TERMS & CONDITIONS [Jan 2018]
1.1. All those attending classes at ‘Swimmatters’, either for themselves or as the parent of a child learner must read, agree and sign the T&Cs set out below. If you have any concerns relating to any aspect within this document please discuss directly with your swimming teacher before signing.
1.2. These terms tell you all about us, how we will provide classes to you, and the obligations you and we have under this contract.
1.3. We reserve the right to change these terms and conditions at any time. We will always advise if changes are made and post updates on our website, where they will take immediate effect. If applicable we will email the changes to customers and ask you to re-sign your agreement.

2. Booking a class
To book classes please contact us directly by phone or email.
Types of class available:
Babies and Toddlers – call Caroline
Adults – call Jill
2.1. You must provide us with all relevant personal information as laid out on our intake forms in order to book a class. All information provided will be used only by ‘Swimmatters’ and will never be shared with anyone else.
2.2. Once booked, you will receive a confirmation email regarding the dates and times of your class and the amount of payment due. This email serves as your contract. Once payment is received you have agreed to that contract. It is only on receipt of payment that your place is guaranteed.
Please note that you will not receive any further reminders regarding your classes, and it is your responsibility to arrive on the dates as specified.
2.3. All payments must be made before the commencement of the current 1/2 term block. Payment is by BACS only ( details above). Under special circumstances classes may be paid for on a weekly basis, but this arrangement is at the discretion of your individual teacher and must still be paid for in advance of the lesson. Failure to make payment will result in cancellation of the class.
2.4. If when booking a block of lessons you are able to provide dates of when you are not available, these sessions will not be charged.
2.5. Holiday classes can be booked on an individual basis, but must be paid for in advance of the session.
3. Last minute changes or cancellations of classes by ‘Swimmatters’
3.1. Should classes have to be cancelled by ‘Swimmatters’ you will be notified by text on the mobile phone number you provided on your intake form. We will always endeavour to provide a stand in teacher for your class but this may not always be possible.
We will endeavour to provide you with as much notice as possible if lessons need to be cancelled/changed, but we cannot take responsibility if you do not receive the message and we are unable to reimburse for any expenses accrued by failure to do so.
3.2. If a substitute teacher is offered for your class, but you do not wish to attend with that teacher, we are unable to offer a refund.
3.3. If the cancelled lesson has been prepaid, the payment will be carried forward to the next set of lessons. Should you decide not to book any further lessons we will credit you for that cancelled lesson.
3.4. If for any reason you are unable to attend booked lessons we are unable to offer a refund or reallocate the class.
4. Shared lessons
4.1. Shared lessons are ideal for siblings & friends to enjoy swimming together, they can also help to save money. Please see below for conditions relating to shared lessons.
There can be no more than 2 mother and baby couples sharing a lesson.
Shared lessons will be charged at the lower rate, but block bookings will still apply.
Shared lessons for older children can have advantages and disadvantages, depending on each child. Please discuss with your teacher whether you have strong feelings about whether your child shares their lesson. However, please be aware that sometimes your teacher may advise that your child should have one-to-one or shared lessons. This will be for your child’s benefit, so please think seriously if you are advised to make a change. The following conditions apply for shared lessons:
Classes will have no more than 2 learners.
If you wish your child to share a lesson with a sibling or friend, please discuss this with your teacher. You may sometimes be advised against this for the benefit of your child, but we are always happy to listen to your request.
Shared lessons will be charged at the lower rate, but block bookings will still apply.
5. Cancellation Policy
5.1. If you were in attendance and a lesson has to be cut short, you will be credited that part of the lesson that was cancelled on a pro-rata basis.
5.2. If you or your child wish to stop or take a prolonged break from lessons, please feel free to discuss this with us. At ‘Swimmatters’ we have an open door policy so that should you wish to return at any time, we will endeavour to fit you back into lessons. Please note that lessons cannot be cancelled during a pre-booked period without a financial penalty.
6. Behaviour and Responsibilities
6.1. All children under 3 1/2 years of age must have an adult carer in the water with them at all times.
6.2. Parents and carers must be responsible for the child in their care at all times whilst on the premises.
6.3. Parents need to be aware that at ‘Swimmatters’ we use a hands on approach to help correct stroke technique and to encourage confident swimming. This will always be carried out in a gentle and appropriate manner.
6.4. Adult swimmers need to be aware that the T.I. method sometimes requires a hands on approach to demonstrate and correct technique.
6.5. We expect all swimmers and visitors to behave in a civilised manner towards our teachers, and aggressive or bad language will not be tolerated.
6.6. Siblings attending poolside must remain the carer’s responsibility and remain under strict supervision at all times.
6.7. Customers must aim to arrive 10 minutes before the start of their lesson and leave no more than 15 minutes after their lesson to help maintain changing area comfort.
6.8. Please do not bring pushchairs or car seats into the changing room or pool.
6.9. Please leave outdoor shoes in the reception area. Shoe covers are available to borrow if preferred.
6.9a. Strictly no food is allowed inside the pool or changing areas.
6.9b. Jill has qualifications in safeguarding and any inappropriate behaviour or general concerns will be reported to the relevant authorities.
7. What to wear
7.1. All children who are not potty trained must adhere to our double nappy policy. Please see separate sheet for more information.
7.2. All swimmers must remove loose jewellery, including earrings, before entering the pool. Please be aware that long term exposure of certain metals to the magnesium in the pool can lead to corrosion.
7.3. Long hair must be either secured back or a cap must be worn when swimming
7.4. Adults must remain clothed/covered up at all times when in the pool or changing room. Curtains are provided for discreet undressing.
7.5. We encourage all swimmers, once past the baby stage, to bring goggles to each lesson.
8. Health and Safety
8.1. Please inform us prior to any session whether you as a swimmer or your child have had any illness in the previous 48 hours, particularly:
- Raised temperature
- Diarrhoea and/or vomiting
- Ear infection
- Chicken pox/Shingles
- Verrucas – Please cover with a rubber sock
- Significant health changes or infectious diseases.
We are unable to allow entry to the pool for 48 hours following any of the above health issues. If you have any doubts about health issues, please discuss with your teacher ASAP.
8.2. Swimmers must not enter the pool until advised that it is safe to do so.
8.3. If using the change table for your baby, you do so at your own risk. Please do not leave your child unsupervised on the table. Change mats are provided for older children who are too mobile for a change table. Please change these children on the floor.
8.4. Please place all disposable nappies and sanitary wear in the bin situated in the toilet.
8.5. Please remove all body oil, perfume and make up prior to entering the pool. Please take a shower if these need to be removed or use a facial wipe (available in the toilet).
8.6. No swimmers may chew gum when in the pool.
8.7. Please walk at all times. There is to be no running within the pool environment.
8.8. Pictures of your own child swimming can be taken in the pool but you are requested not to share these on social media.
8.9. ‘Swimmatters’ have separate Health & Safety/Risk Assessment documents relating to the pool, a copy of which is available for viewing in the Reception area.
9. Lost property and valuables
9.1. ’Swimmatters’ will retain lost property until the end of each Half Term. If not claimed within that time, it will be disposed of with no compensation offered.
9.2. We cannot accept liability for lost, damaged or stolen articles.
